1. Who we are

This privacy notice is provided by Sean James ("we", "us", "our"), the data controller for the QuickDecide service. QuickDecide is a web-based team polling application that lets you create polls, share links, and view live results.

2. Data we collect

We collect the following categories of personal data:

  • Account data: name, email address, and authentication credentials when you register or sign in.
  • Usage data: IP address, browser type, device identifiers, pages visited, and interactions with polls.
  • Poll data: questions, options, and votes you create or submit. Voter responses are generally anonymous unless you choose to identify yourself.
  • Support data: messages and correspondence you send to our support team.
  • Payment data: when you subscribe to a paid plan, our payment provider Paddle processes your billing information. We do not store full payment card details.

3. How we use your data

We use your personal data for the following purposes:

  • To provide and operate the QuickDecide service (contract performance).
  • To authenticate you and maintain your account (contract performance).
  • To process payments and manage subscriptions (contract performance).
  • To improve our product, fix bugs, and analyse usage trends (legitimate interests).
  • To send service-related notifications such as billing reminders or security alerts (legitimate interests).
  • To respond to your support requests (contract performance).
  • To comply with legal obligations (legal obligation).

4. Legal basis for processing

We process personal data on the basis of: (a) performance of a contract with you; (b) our legitimate interests in operating and improving the service; (c) compliance with legal obligations; and (d) consent, where explicitly requested (for example, optional marketing communications).

5. Who we share data with

We share personal data with the following categories of recipients:

  • Service providers: hosting, analytics, and customer-support tooling providers that process data on our behalf under data-processing agreements.
  • Paddle.com: our online reseller and Merchant of Record. Paddle processes personal data for the sale of our products, subscription management, payments, tax compliance, and invoicing.
  • Professional advisers: legal and accounting professionals where necessary.
  • Authorities: law enforcement or regulators where required by applicable law.

6. International transfers

Your data may be transferred to and processed in countries outside your jurisdiction, including countries that may not have equivalent data-protection laws. We rely on Standard Contractual Clauses and other lawful safeguards for these transfers.

7. Data retention

We retain your personal data for as long as necessary to provide the service and fulfil the purposes described above. Account data is kept for the lifetime of your account plus up to 12 months after closure, unless longer retention is required by law. Aggregated and anonymised data may be retained indefinitely.

Depending on your location, you may have the right to: access, rectify, erase, or restrict processing of your personal data; object to processing; request data portability; and withdraw consent where applicable.
